Senior Patent Secretary

 

Reporting to: Head of Legal Practice

Location:  Cambridge (West Campus)

 

Overview

 

Providing an efficient and effective support service to one or more Senior Patent Attorneys within a busy patent team.  Ensuring that the Attorney team receive the required help and support to enable them to carry out their professional duties. The role will suit an experienced secretary or patent administrator who has experience of UKIPO and EPO patent processes.

 

 

Duties and Responsibilities

 

  • To provide administrative and practical support for Attorney’s Case Work including the taking of dictation, typing, proof reading, preparing official forms and online filing. Downloading documents from official EPO and UKIPO websites, ensuring docket fee and official fee entries are entered onto the company accounts management system
  • File and document management, e.g. opening new files, copying and scanning, preparation of materials for official hearings
  • Monitoring of Attorney emails and correspondence and file up-dating, acknowledge as necessary in the Attorney’s absence
  • Incoming post administration e.g. ensure any deadline dates are added to the benchmarking list/deadline diary, find the relevant file, make sure the file is up-to-date with all correspondence, arrange for file and correspondence to be emailed/sent to the relevant Attorney, track any sent files so that you are aware of the location at all times
  • Benchmarking/deadline diary e.g. making notes of and reminding attorneys of deadlines on files, deadlines on any form of correspondence, emails, official correspondence and any other client instructions
  • Completing filing estimates for clients, using the relevant forms and the fee schedule to calculate them
  • Other reasonable office duties as required by the business

 

 

Required Qualifications, Skills and Experience

 

  • Qualified European Patent Attorney
  • Qualified UK Patent Attorney
  • Experienced IP professional with UK and international experience
  • An understanding of the UK, EU and US patent systems and environments
  • Experience of client management in an IP environment
  • The ability to focus, prioritise and manage client and associate relationships
  • Good interpersonal skills

 

Day-to-Day Administration

 

  • Take phone calls/messages for Attorney and deal with accordingly and arrange conference calls
  • Maintain Attorneys’ personal diary
  • Make travel arrangements and book hotels
  • Administer foreign currency as and when needed
  • Cater for meetings as and when needed
  • Administer credit card expense claims and foreign currency expenses
  • Provide support in the general administration of the office

 

Salary Range

 

Salary is competitive and commensurate with experience.

 

This role is eligible for the Team Bonus Structure.
